Leave Policy Document

1. Working Hours: #

The standard working days for all employees of Abhinav DigiCompSoft Services Private Limited (“the Company”) are from Monday to Friday, with working hours set from 10:00 AM to 7:00 PM. Each working day includes a mandatory one-hour lunch break. Employees are required to complete a total of 45 working hours per week. Saturdays, Sundays, and official calendar holidays declared by the Company at the beginning of the calendar year are considered holidays.

Early Leave (7 Hours)

  • Unapproved overtime has been scrapped. If a 7-hour workday is needed, employees must compensate the remaining 2 hours either the day before or the day after, with prior approval.
  • Employees may avail a 7-hour workday (early leave) only once per week. This must be pre-approved by the respective Project Manager at least one day in advance.

2. Overtime and Compensatory Off: #

Overtime refers to any hours worked beyond the standard 9-hour workday. Overtime hours will be converted into compensatory off days. The conversion will be calculated by totaling the overtime hours accrued by each employee per month and then converting them into days, with each day equivalent to 9 working hours. If an employee accrues 4 and Half hour or more hours of overtime, a half-day compensatory off will be granted. Overtime hours less than 4 and half hours will be carried forward to the following month, as they cannot be converted into compensatory off days. Overtime will not be considered without prior management approval.

Working on Saturdays, Sundays, or official calendar holidays will not be considered as overtime. If an employee works a full day (9 hours, including lunch break) on any of these days, a full-day compensatory off will be added to their paid leaves. If an employee works a half-day (4 and a half hours, including a half-hour lunch break), a half-day compensatory off will be granted.

Additional Overtime Approval Guidelines: #

  • The overtime approval policy remains the same for all employees across all teams.
  • All overtime must be approved by the respective Team Lead for their entire team, with Deepika Ma’am, Admin HR, and the Project Manager marked in CC on the approval email.
  • Overtime approval must be completed within 3 days from the date the approval request is made via email.
  • Team members are strictly instructed not to send overtime requests directly to Deepika Ma’am without Team Lead confirmation.
  • Individual overtime requests without Team Lead approval will not be accepted.
  • Team Leads are responsible for verifying, validating, and approving overtime hours to ensure accurate attendance tracking and payroll processing.
  • Deepika Ma’am will approve only the overtime emails submitted by Team Leads.

3. Working Hours and Leave Deductions: #

A working half-day is considered as 4 and a half hours. Any duration less than this will be considered as leave. A full day is considered as 7 hours. If an employee does not complete 7 hours on any given day then that day will be considered as a half day and the hours above 4 and a half hours will be used to offset the shortfall in hours on other days. If an employee wishes that day to be considered as a full day then they need to take written approval from management. If an employee fails to complete the full 9 hours of work on any given day, the balance hours must be compensated on other days within the same month. Otherwise, the shortfall in hours will be deducted from the employee’s paid leaves at the end of the month. Similar to overtime hours, any shortfall of hours less than 4 and a half hours will be carried forward to the next month and must be compensated.

  • Planned Leave: Must be communicated via email at least 7 days in advance.
  • Medical/Sick Leave: If your medical leave extends beyond 2 consecutive days, a doctor’s note or medical certificate must be submitted by the third day.
  • Special Leave & Rejoining:
    • Employees must rejoin on the date mentioned in their special leave application.
    • Leave extension requests will not be entertained.
    • If the employee fails to rejoin on the declared date, the special leave status will be considered cancelled, and sandwich leave deduction rules will apply.
    • Repeated no-shows will be treated as a policy violation and will negatively impact the performance evaluation.
  • Task Planning & Delegation:
    • Before going on leave, employees must plan tasks, delegate responsibilities, and communicate clearly with team members to ensure smooth workflow during their absence.

4. Leave Request Protocol: #

Employees must request leaves at least one week in advance for leave durations of 5 days or less. For leaves exceeding 5 days, requests must be made at least two weeks in advance. If an employee takes leaves totaling 6 or more calendar days, including weekends and holidays, it will be considered a sandwich leave, and all calendar days during the leave period will be deducted from the employee’s paid leave balance. Special leave requests, exceeding 5 days, can be made up to three times a year and must be approved at least 15 days in advance. During special leave, only working days will be considered for leave calculation, and if balance paid leaves are available, they will be made paid.

5. Probationary Employees: #

Employees under probationary status are not entitled to paid leaves. However, they can accrue leaves by working overtime or on Saturdays or Sundays, if required and approved by management.

6. Leave Without Pay (LWP): #

Employees may opt for leave without pay (LWP) if they do not have a sufficient balance of paid leaves available.

7. Leave Encashment: #

Employees have the option to encash up to 5 accrued paid leaves per month. Leaves will not be encashed in the months of March and April every year.

8. Work From Home (WFH) Policy: #

WFH arrangements will be provided on a case-by-case basis. During WFH, employees must adhere to specific protocols, including sending a login email, a going for lunch email, resuming after lunch email, and a logout email. Failure to comply with these protocols may affect the calculation of working hours.

9. Late marks and deduction of half days #

Any employee arriving at the office after 11:30 am will receive a late mark.

  • If you accumulate three consecutive late marks, a half-day will be deducted from your worked hours.
  • Additionally, if you accumulate eight or more non-consecutive late marks by the end of the month, a half-day will be deducted from your worked hours.
  • Standard working hours are from 10:00 AM to 7:00 PM.
  • Employees may log in by 11:00 AM, provided they complete the 9-hour work schedule.
  • A grace period is allowed until 11:30 AM.
  • Arrival after 11:31 AM will be marked as a Late Mark.
  • No late marks will be excused or considered for any reason moving forward.
